[Closed] COO Assistant 

Location & Commitments:  

  • Employment Type: Permanent position / Contract-based 
  • Location: Remote / Office (Preference for candidates seeking long-term roles in Ho Chi Minh City)
  • Reports to: Ms. Ngoc Huynh (COO) 

Working Hours:  

  • Work Schedule: Part-time, up to 25 hours per week 
    • Monday to Friday: 08:30 AM – 6:30 PM (with a lunch break from 11:00 AM – 1:00 PM) 
    • Monday to Thursday: 9:00 PM – 10:00 PM
  • Can flexibility register for additional working hours in the evening 
  • Occasional overtime may be required for some tasks 

Key Responsibilities: 

  • Schedule Management: Receive information, plan, and organize the COO’s schedule with clients, partners, and internal departments. 
  • Organize and coordinate all activities involving the COO, ensuring relevant personnel are informed and well-prepared. 
  • Attend, take notes, and summarize the content of meetings between the COO and clients, partners, or internal departments. 
  • Consolidate reports, analyze, and evaluate the performance of the company and its departments. 
  • Liaise with clients/partners as directed by the COO. 
  • Perform other tasks or new projects as assigned by the COO. 
  • Assist the COO in monitoring and supervising departmental progress and provide direct support to resolve issues during implementation. 
  • Draft emails and support the COO in creating, managing, and archiving documents, contracts, correspondence, Slide Decks, presentations, and proposals. 
  • Advise the COO on planning and decision-making related to organizational operations and business activities. 
  • Clearly and accurately communicate the COO’s instructions to relevant departments and relay their feedback to the executive team. 

Job Requirements: 

  • Outstanding academic achievements or notable extracurricular leadership experience. 
  • Proficient in computer skills and office software. 
  • Fluent in English. 
  • Strong ability to organize and execute tasks independently. 
  • Detail-oriented, meticulous, and responsible in assigned work. 
  • Hardworking, eager to learn, and open to feedback.
